Facilities Available

University-Wide Requisition Guidelines

Carefully read instructions to ensure all documentation is correct. All applicants must read and complete all sections of the University Wide Event Requisition Form and obtain all required signatures and documentation. A written response will be forwarded to applicants or the applicant will be contacted for further information. Special support services require a minimum thirty-day (30) notice. A minimum ten-day (10) notice is required for events that do not require special support services.

All fees must be paid in full prior to the authorized event being held and the appropriate accounts charged prior final approval. The events will not be officially approved until all payments have been received.

A minimum Forty-eight (48) hour notice is required for cancellation of any authorized events and must be submitted in writing signed by sponsoring representative(s). Failure to do so could prohibit future use of University facilities.

Section A General Information

  1. Organization/Department. The authorized representative signing an Event Request (ER) Form commits the Organization/Department to the University for the accuracy of all information contained in section A. The authorized Organization/Department is held liable for the conduct and payment of any applicable fees or charges for damage incurred as a result of this event being held in the facility.
  2. Misrepresentation by the authorized representative to gain use of University facilities, failure of officers, members or their guests to observe University policy as it relates to use of the facilities are subject to denial of future use of the facilities and will be held liable for changes for any damages uncured.
  3. Use of University facilities authorized by CSIO may not be transferred, assigned or subleased to another organization without prior written approval of CSIO.
  4. Organizations/Departments are not authorized to use University facilitates for profit making events through the sponsorship of non-university organizations
  5. The reserving Organization/Departments is expected to conduct its activities in a responsible manner while using University facilities. All events must adhere to posted notices such as room capacities, maintaining unobstructed exits, and avoiding the use of flammable decorating materials.

Section B Event Sponsorship

  1. A non-university event is any activity entailing significant involvement in the planning, administration and attendance by guest not recognized as part of Howard University. Sponsorship of a non-university activity by a University organization does not change the status of the organization as a non-university event. All events required an authorized University or department as a sponsor to be approved.
  2. A non-university activity must meet the criteria set forth in the Universities’policy and procedures for use of University facilities. All non-university activities held in University facilities require a recognized University organization or department as a sponsor.
  3. University organizations or departments sponsoring non-university activities must:
    1. Be fully aware of all aspects of the event(s) being requested.
    2. Be held liable for all charges incurred for the use of facilities or damages resulting from the event. In the event that the non-university activity you are sponsoring does not pay for the use of the facilities, the sponsoring organization is held liable for the costs.
    3. Have a representative from the organization or department present at each event authorized under their sponsorship.

Section C Event Information

  1. All sponsored organizations requiring special considerations must complete a University lease agreement and secure additional insurance. A valid certificate of insurance must be submitted ten (10) working days prior to the authorized date of event.
  2. In accordance with University policy relating to the use of facilities, authorized University representatives have the right to:
    1. Impose limits in the scope, conduct of audiences, and size of any event being authorized on University premises.
    2. To have access to University facilities at all times.
    3. To provide services that have only been committed in writing prior to authorized date of use.
  3. All printed/written advertisement relating to University events must be authorized by the CSIO and posted in CSIO approved designated areas. Printed advertisements not related to University events will not be authorized for posting.
  4. No tickets are to be sold on University premises with the exception of Cramton Auditorium. All ticket sales must be coordinated through the Cramton Auditorium Box Office or sold in advance. On site donations are not permitted. Please contact Cramton Auditorium Box Office at (202) 806-2065 for further details.
  5. The Office of University Communications must be informed of all media requests associated with all scheduled University events. Please contact their office at (202) 238-2330.
  6. Physical Facilities Management and the Howard University Campus Police Services are facilitated through the CSIO. CSIO serves as the conduit in which these services are coordinated.

Section D Facility Equipment

  1. All requests for equipment must specify the type and amount of equipment required.
  2. A diagram/floor layout may be required if necessary.
  3. The University is not obligated to provide equipment requested less than forty-eight hours prior to the scheduled event. Other requests are honored based on availability at the time of request. The University has no obligations to provide equipment or services not in University inventory.
  4. All special event requests for equipment must be submitted thirty (30) days prior to the scheduled event. Requests will then be forwarded to the appropriate office for processing
